    How your expenses sync to QuickBooks

    Fuel, maintenance, dump fees and every company expense you record in Dumpster Controls now lands in QuickBooks automatically as a Purchase, with the vendor attached. Your P&L lives in both systems without re-typing.

      What counts as an expense

      Two sources sync: company expenses (Finances, Expenses: fuel, maintenance, insurance and so on) and per-order costs (like the landfill dump fee recorded on an order). Charges you bill TO a customer (overweight fees, extra days) are never exported as expenses; they already flow to QuickBooks on the revenue side through invoices and payments, so nothing double-counts.

      How it looks in QuickBooks

      Each expense becomes a Purchase recorded against a dedicated clearing bank account named Dumpster Controls Clearing (created automatically, so none of your real bank registers are touched), categorized under an expense account named Dumpster Controls Expenses (also auto-created). Your accountant can re-categorize the account or individual purchases freely; the integration will not fight back.

      Vendors come along

      The vendor name on the expense (the landfill, the gas station, the mechanic) becomes a QuickBooks Vendor, found by name or created once and reused. Per-order costs carry the order number in the description, so a dump fee is traceable to its job.

      Edits after export

      Fixing an expense in Dumpster Controls (a corrected landfill weight, an adjusted amount) updates the QuickBooks Purchase automatically, keeping both ledgers identical. Deleting an expense after it synced raises an alert in the sync log asking you to remove the Purchase in QuickBooks; the integration never deletes from your books silently.
