The invoice a hauler loses money on is the one written three weeks after the job, from memory, without the overweight ticket. Waste management billing software exists to make that invoice impossible: in Dumpster Controls the invoice is written at the moment the order is created, the landfill receipt reaches the order from the driver's photo, and the extra charge is computed from the weight on that receipt. Every step below is on the free plan; the only optional cost in the whole system is card processing when a customer pays online.

The invoice is written with the order

Creating an order writes its invoice, sends it by email and SMS, schedules the payment reminders and puts the delivery and pickup on the Dispatch board, in one step. When the customer books online, the price is on the screen before they pay, tax and processing fee included, and the card is stored for the charges that come later. When the order comes in by phone, you charge the card by phone, send a payment link, or mark it as a cash or offline order. For work already done, an Invoice Only order issues the invoice without dispatching a truck, with a section to attach the landfill receipt, the net weight, the overweight charge and additional fees.

Five ways to collect, one record

Auto-reminders are the part that does the chasing: a daily email and text for up to 10 consecutive days with increasing urgency, each one carrying the payment link, stopping the moment the invoice is paid. A customer who opted out of transactional notifications gets none, and you can switch reminders off for one invoice before you send it. The invoice PDF downloads from the same modal, and a Customer View shows exactly what they see.

Extra charges after the job, with evidence

Charge Extra Fee, on any order in Order History, bills what showed up after the fact: Overweight Fee, Dumpster Damage, Trip Charge, Unsafe Load, Landfill Cost, Fuel Cost, Maintenance, Permit Fee, Toll Fee or Other Cost, each with its own maximum. The overweight section reads the recorded net weight and fills in the tons over, the rate per ton and the included tons from the order, and the breakdown card shows contracted weight, actual weight, excess, rate, subtotal and total to charge. You write a description of at least 20 characters, overweight descriptions are generated from the weight data, attach up to three photos, and landfill receipts on the order attach themselves.

Then you pick how to collect: charge the saved card, send an invoice with a payment link that starts the 10 day reminder cycle, or record the cost internally, which saves it to Expenses and charges the customer nothing. Junk removal jobs take extra charges the same way, for the items the customer added at the door. A charged extra can be edited, its receipt resent, or refunded from the order, and when a paid order or junk job is cancelled, the full remaining amount, booking plus extras, is refunded on your Stripe account before the cancellation completes.

Contractors and brokers: net terms and one payment for many jobs

A contractor or broker profile carries the fields their accounts payable department asks for: billing email, AP contact name and phone, net terms from Net 7 to Net 30 or custom, a credit limit, a risk rating, PO Required with a default PO format, tax exempt with the certificate uploaded, and a W9 on file. On an invoice you can edit the payment method and the due date. When the same customer has several unpaid invoices, the Customers page offers to consolidate them into one Super Invoice with a single payment link; you choose whether the company absorbs the card processing fee or the customer pays it on top, and you can charge the card on file for the total.

The accountant's side: QuickBooks Online, one way

Customers, invoices, payments, refunds and expenses export from Dumpster Controls into QuickBooks Online. The direction is one way by design: nothing the accountant does in QuickBooks is written back, so there is no fight over which system is right. A sync log shows what landed and what needs a fix, and a data mapping reference states exactly how each entity appears in your books, including the edge cases: voids, refunds, customers with the same name and accountant edits. Inside the app, Finances shows net profit first, then Received, Invoiced, Unpaid and Expenses, Orders P&L per order, and payouts under Your Money; the full walk-through is at dumpster invoicing software.
